Timesheet

The Timesheet screen consolidates the timesheets of the team's resources. Team managers track completeness and approve timesheets submitted for validation.

Reached through the Timesheet menu of a resource portfolio.

Sheet or Follow-up, calendar or grid

The Timesheet menu groups three screens, linked by a shared header:

HeaderScreen
Sheet → GridThe consolidated table described below: all resources, day by day
Sheet → CalendarThe Activity view: entries and planned work in a calendar, resource by resource
Follow-upThe entry-tracking list, used to send reminders to resources who are behind; shared by both displays

Your choice is remembered: the menu reopens the last screen you used, and leaving Follow-up reopens the Sheet in the last display you chose. By default, the Sheet opens as a calendar.

In the grid, totals (task, project and resource rows, ETC, Δ ETC) update with every entry, without reloading the sheet.

Consolidated table

One row per resource, one column per period (day, week, month depending on the periodicity defined in Settings → Timesheet).

Consolidated timesheets

Each cell shows:

  • The declared time (hours, MD or %)
  • The status: not entered, draft, submitted, approved, rejected
  • A completeness indicator (badge) when entry is incomplete

Filters

  • Period — Current month by default; custom range selector
  • Status — Show only timesheets awaiting validation, approved, rejected…
  • Resource — Filter on one or more resources
  • Project — Restrict to a project

Validation actions

For managers with validation rights (see User access):

  • Approve selection — Marks the ticked timesheets as approved
  • Reject selection — Rejects the ticked timesheets; a reason comment can be added
  • Send reminder — Email reminder to resources who have not submitted

Timesheet detail

Click a resource cell to open their detailed timesheet:

  • Breakdown by project × task
  • Planned vs actual comparison
  • Resource comments
  • Status change history

Best practices

  • Set a regular validation routine (e.g. Monday morning weekly validation for the past week).
  • Enable automatic reminders from Settings → Notifications: less manual follow-up.
  • In case of dispute, always keep the rejection comment: it serves as an audit trail.
