Leave

The Leave screen is the consolidated view of absences for every resource in the team, laid out on a timeline. A reported absence shows up here immediately and reduces the capacity of the resource in the Workload screen.

Reach it from the Leave menu of a resource portfolio.

This is a tracking screen, not an entry screen

Absences are not created here. They are reported from My activity or from the timesheet — see Reporting an absence below.

Reading the timeline

The screen is a timeline per resource: one row per person, time across the columns.

  • Month / Year — the two buttons at the top right change the timeline granularity.
  • ‹ › / Today — navigate in time and return to the current period.
  • Each absence is a coloured block laid on the resource's row, carrying its value in man-days.
  • A block can carry a comment — the speech-bubble icon on the block shows it as a tooltip.

The colour legend

The strip of chips at the top of the screen gives the colour of each absence type. These types — and their colour — are not hard-coded: they are the ones configured in Settings → Workspace → Timesheet.

So there is no universal "paid leave / sick leave" list: each workspace renames the ten available types to match its own vocabulary. Types hidden in the configuration appear neither in the legend nor at entry.

Searching for a resource

The search field at the top left filters the timeline on the resource name.

Opening a resource's record

Clicking a resource's avatar in the left column opens their user record (profile, assignments, calendar) without leaving the screen.

Exporting

Two icons at the top right:

  • XLSX export — the workbook of absences for the displayed period
  • CSV export — the same content as delimited text

The export covers the period visible on screen, with the resource, the date, the absence type and the duration in man-days on each row.

Reporting an absence

Reporting is done by the resource themselves, from two screens:

From "My activity"

  1. Open My activity.
  2. On the day concerned, use Add an element.
  3. Choose the Absence mode (rather than By task).
  4. Select the absence type from the list.
  5. Enter the percentage of the day concerned — 100% for a full day, 50% for a half day.
  6. Confirm with Apply.

From the timesheet

Absence rows are entered directly in the timesheet grid, just like time spent on tasks.

No dedicated leave approval circuit

Absences follow the same setting as timesheets: the Validation of timesheets checkbox on the Timesheet tab. When it is checked, the declaration goes through the Pending then Approved statuses; otherwise it is taken into account immediately. There is no separate HR circuit.

Impact on capacity

Not every absence reduces availability — it depends on the type, and more precisely on its key in the configuration:

The Impact the capacity column of the Timesheet tab shows this distinction for each type. It is not editable: the type's key determines it.

Collective public holidays are not reported here: they are set once for the whole workspace in the exception days of the Calendar.
