Project archiving
Archiving lets you remove a project from the entire application without deleting it. An archived project disappears from the Project, Portfolio, Resource, Client and Me modules, and is no longer taken into account in any computation (workload, capacity, budget, progress, timesheet reminders). Its data is fully preserved: it can be restored at any time.
Access
Main menu → Settings → Workspace → Archive tab
Archiving is global to the workspace: only a member with the Workspace administrator role can archive or restore a project. When a project is archived, it is archived for everyone.
The "Archive" tab
The tab shows two lists side by side:
- Workspace projects (left) — the active projects, with a search field and the same filtering criteria as the portfolio definition (status, type, project leader, custom fields…). Search and filters apply to both lists.
- Archived projects (right) — the currently archived projects. Each project is prefixed with the dynamic label "(Archived on YYYY-MM-DD)" and the list is sorted from the most recently archived to the oldest, so the latest archivals stand out at a glance.
Archiving a project
Drag and drop a project from the left list onto the Archived projects list. The action is immediate: the archive date is recorded and the project instantly disappears from the rest of the application.
Restoring a project
Drag and drop a project from the Archived projects list back onto the left list. The project gets its original name back (the date label disappears) and becomes visible everywhere again, exactly in the state it was in before archiving.
Effects of archiving
| Area | Behavior |
|---|---|
| Project lists | The project no longer appears in any selector or list (Project, Portfolio, Resource, Client, Me) |
| Portfolios | The project is removed from portfolio views (planning, arbitrations, budget, actuals) |
| Workload and capacity | Its tasks and allocations no longer weigh in resource workload and capacity computations |
| Timesheet | Its assignments no longer trigger reminders |
| Budget | Its lines are no longer counted in budget pivots and summaries |
| Data | Nothing is deleted: tasks, allocations, budgets, comments and history are preserved |
| Workspace export | The mass export includes archived projects (no data loss) |
Deleting a project is permanent. Archiving is reversible: prefer it for completed or suspended projects you may want to consult or reactivate later.
