Workspace members

The workspace (or environment) is the highest level in FoxPlan: it contains all your projects, portfolios and resources. The workspace role assigned to a member determines their global rights, above the roles defined project by project or portfolio by portfolio.

Management happens in Settings → Workspace → Member tab.

Three levels of rights in FoxPlan
  1. Workspace (this article) — global rights over the whole workspace
  2. Portfolio — rights over a portfolio and its projects
  3. Project — rights over a specific project

The effective role on a given project combines these levels: the most permissive one wins.

Workspace roles

FoxPlan distinguishes five roles at the workspace level, from the broadest to the most restricted.

🛡️ Administrator

The most powerful role in FoxPlan. The Administrator can:

  • Manage the workspace definition (global settings, budget, environments, roles…)
  • Write access to all projects in the workspace

This is the role of your organization's functional administrators.

📊 Workspace manager

The cross-cutting steering role. The Workspace manager can:

  • View all projects in read-only
  • Perform project arbitration (prioritize / compare projects at the organization scale)

Ideal for a PMO or portfolio management that steers without editing project content.

👁️ Workspace reader

The global consultation role. The Workspace reader can:

  • View all projects in read-only

With no arbitration nor write capability. Perfect for an observer (management, audit, cross-cutting sponsor).

➕ Contributor

The project autonomy role. The Contributor can:

  • Create a new project

They have no global access to other projects: on those, their rights depend on the roles assigned at project or portfolio level.

👤 Member

The base role. The Member is listed in the workspace but has no access to projects by default. Their rights come solely from the roles later assigned to them on specific projects or portfolios.

Assigning a role

  1. Go to Settings → Workspace → Member tab
  2. Select the member (or add them, see User administration)
  3. Click Assign a role
  4. Choose the desired workspace role
  5. Save
License consumed

The Administrator, Workspace manager, Workspace reader and Contributor roles consume a full license. The Member role does not, as long as no project right is added. Choose the tightest role to optimize your licenses.

Good habit

Reserve the Administrator role for a few trusted people. For most users, start from Member or Contributor and grant project access through the finer-grained project/portfolio roles.
